Resources is PortalHQ’s central library for files, links and pages that staff, students and parents need to find — handbooks, policies, forms, photos, links to external services, anything that lives somewhere and needs to be referenced.
The module covers three kinds of resource:
| Type | What it is | Example |
|---|---|---|
| File | Uploaded document | School handbook PDF |
| Link | URL to an external service | Library catalogue, Canvas, Office 365 |
| Page | Internal content page | Term dates page, FAQ |
Each is organised into categories and targeted at specific audiences.
The structure
Resources
├── Resource Categories — top-level groupings
│ ├── Resources (files + links)
│ └── Resource Pages (internal content)
Who uses Resources
| Role | Activity |
|---|---|
| Portal admin / content team | Creates and organises resources, sets visibility. |
| Department heads | Maintains department-specific resources (curriculum docs, policies). |
| Staff | Finds policies, procedures and resources for their role. |
| Parents | Finds forms, handbooks, links to external systems. |
| Students | Finds learning resources, links to Canvas, library, etc. |
Where Resources fits in
Resources is for static content — things that don’t change often and live in a central library. For dynamic content, use other modules:
| Use case | Module |
|---|---|
| School handbook PDF, term dates, policies | Resources |
| Weekly newsletter | Newsroom Issues |
| Today’s announcement | Notices |
| Calendar event | Events |
| Form to fill in | Forms |
| Link on the dashboard | Dashboard / Links |
There’s overlap with the Dashboard / Links module — both have URLs to external services. The difference: Dashboard is the quick-access top-of-mind shortcut; Resources is the comprehensive library. The same link might appear in both.
Audience targeting
Each resource is targeted at one or more audiences:
- Public — anyone can see, no login required.
- Parents — logged-in parents.
- Students — logged-in students.
- Staff — logged-in staff.
- Specific groups — by year level, access group, role.
The browsing experience
Users see Resources organised by category. They can:

- Search across resources.
- Filter by type (files, links, pages).
- Open or download.
Where to start
- Uploading your first resources: Adding files, links and other resources.

- Building richer content pages: Creating resource pages.
- Making resources public: Publishing public vs. internal resources.
