The calendar offers several ways to look at what’s coming up. Most schools have more than one calendar, so the first decision is usually which one to open.
Choosing a calendar
The Calendar landing page lists every calendar your school has configured (e.g. School Calendar, Sports Calendar, Staff Calendar). Click a calendar to open it.
The four views
Month / Week / Day
The interactive FullCalendar view is the default. Click a day to see what’s on, click an event to open its detail page.
- Month — the whole month at a glance with events as coloured blocks.
- Week — five or seven days side by side with hour rows for timed events.
- Day — a single day with the full hour-by-hour timeline.
Events are colour-coded by event type — the colours are set up by your school admin.
Search
The search view lets you find events without scrolling. Filters available:
- Keyword — searches title, description and location.
- Event status — Draft, Pending, Approved, Endorsed, Declined or Cancelled. Defaults to approved and endorsed.
- Event category — your school’s high-level categorisation (e.g. Sports, Academic). Only shown if your school uses categories.
- Event type — the type that drives the approval chain.
- Primary or Secondary — limits to events tagged for the primary or secondary school.
- Year groups — events that apply to selected year groups.
- Campuses — visible to admins at multi-campus schools.
Combine filters as needed. Each one narrows the result. Use Display as list to switch from a date-range layout to a flat list of matches.
Daily summary
A simple text list of everything happening on a given day. This is the view used for staff briefings — print it or copy into a notices email. It shows time, title, location and the staff involved.
What the styling tells you
- Solid colour — an approved or endorsed event.
- Cancelled styling (strike-through or faded) — an event or occurrence that was withdrawn after approval. The record stays so people can see what was meant to happen.
- Pending or Draft events do not appear on the calendar at all — they only show up in approval queues until they’re approved.
If your school has Show cancelled occurrences turned off, cancelled occurrences are hidden entirely.
Drag-and-drop
Calendar admins and the event owner can drag an event to a new date or time directly on the FullCalendar view. The change is treated as an edit — and on an approved event, moving it to a new date sends it back to Draft for re-approval. See Editing, rescheduling and resending for approval.
What audiences see
The calendar applies the Publish to setting on each event:
- Staff see staff-published events.
- Logged-in students see student-published events.
- Logged-in parents see parent-published events.
- The public website calendar shows events ticked for Show on website.
A staff member with calendar admin permission can see all events regardless of audience.
