The Calendar is where everything created in the Events module ends up. Staff use it to see what’s happening across the school, filter by category or year group, and subscribe to feeds that update automatically.
What you’ll find on the calendar
- Approved events — anything that’s been through the approval workflow and is on its assigned audience (staff, students, parents, or public). See Events Overview.
- Cancelled events and occurrences — shown with cancelled styling so it’s clear something was meant to happen and isn’t.
- Endorsed events — approved events where all additional staff have confirmed their involvement.
Draft and Pending events are not on the calendar — they’re only visible to the organiser and the relevant approvers.
Multiple calendars
Most schools have more than one calendar — for example, School Calendar, Sports Calendar, Staff Calendar. Each calendar is a separate container for events, and the same event lives in exactly one calendar.

Calendar views
Each calendar offers a few different views:
- Month / Week / Day — the FullCalendar interactive view. Drag to navigate, click an event to open it.
- Search — find events by title, organiser, location or date range.
- Daily summary — a simple list of everything happening today, used for staff briefings.

Audiences and visibility
Events on the calendar are filtered by the Publish to setting on each event:
- Staff — visible to staff users.
- Students — visible to logged-in students.
- Parents — visible to logged-in parents.
- Show on website — visible to the general public on the website calendar. See Publishing events to the public website calendar.
A single event can be published to more than one audience.
Subscribing
The calendar can be subscribed to from external calendar apps (Apple Calendar, Outlook, Google Calendar) via an iCal feed. There are several feeds for different audiences and slices of the calendar — see Sharing calendars via iCal feeds.
