The Fee Calculator lets prospective and current parents work out the total school fees for their family before they commit to enrolling. It’s a public, embeddable tool — parents enter their children’s year levels and (optionally) campus and entry year, and the calculator returns term and yearly totals with any sibling discounts applied.
For schools, the calculator is also a lightweight lead-capture tool: parents can opt to receive a copy of their calculation by email, and (if enabled) those submissions flow into EnrolHQ as leads.
What the calculator does
For each child in the family the parent provides:
- Year level — e.g. Year 7, Kindergarten.
- Entry year — when the child starts (used to apply yearly fee escalation).
- Campus — for multi-campus schools.
The calculator looks up the matching fee schedule for each child, applies any sibling discount, adds family-level fees and service charges, and returns the totals.
The building blocks
| Concept | What it is |
|---|---|
| Year-level fee | The tuition for a single year level. Set once per year level, optionally per campus. |
| Sibling discount | A reduction applied to the 2nd, 3rd, 4th and 5th+ children in the same family. |
| Family fee | A flat charge that applies once per family regardless of child count (e.g. Capital Works Levy). |
| Service charges | Per-child fixed amounts that are not discounted (e.g. ICT levy, sport levy). |
| Campus | A location with its own fee schedule. Used by schools that operate across more than one site. |
| Entry year | The calendar year a child starts. Lets the calculator project fees forward with an annual increase percentage. |
| Calculator settings | The look, labels, email text, privacy policy URL and feature flags for the public calculator. |
Who uses what
| Role | What they do |
|---|---|
| Portal admin / business office | Sets up the fee schedule, sibling discounts, family fees, campuses and entry years. Customises the calculator labels and emails. |
| Communications / marketing | Embeds the calculator on the school website. |
| Parent (prospective or current) | Uses the public calculator to estimate fees. Optionally provides their email to receive a copy. |
| Enrolments team | Reviews parent submissions and (with EnrolHQ) follows up the leads. |
A typical setup workflow
- Decide on a discount method. Built-in (per-child fee fields) or percentage-based. See Configuring sibling discounts.
- Add your campuses if you have more than one. See Configuring multi-campus fees.
- Add a year-level fee for every year you offer, on every campus. See Setting up year-level fees.
- Add any family-level fees that apply to every family. See Adding family-level fees.
- Configure entry years and fee escalation so parents looking ahead see the projected fee. See Configuring entry years and fee escalation.
- Customise the calculator — labels, emails, privacy policy, CSS. See Customising the calculator’s appearance, emails and labels.
- Embed the calculator on your website. See Embedding the calculator on your school website.
- Review submissions as they come in. See Reviewing parent submissions.
Year-over-year maintenance
Once set up, the calculator runs itself. The annual maintenance task is:
- Update the year-level fees with the new year’s prices.
- Add the next entry year with the inflation percentage.
- Leave older entry years in place if parents looking back is allowed; remove them if not.
Most schools do this once a year before fee schedules go out to families.
